PropIQ Privacy Policy

1. Who we are and what this policy covers
PropIQ, Inc. ("PropIQ," "we," "us") is a Delaware corporation. We make PropIQ, software for real estate agents. The PropIQ app includes a CRM, a unified inbox where an AI assistant named Chevy sorts incoming email and drafts replies for the agent to approve, a calendar for appointments and showings, and property search alerts that agents send to their clients.
This policy explains what information PropIQ collects, how we use it, who we share it with, how long we keep it, and how you can control it. It applies to the PropIQ web app and the website at https://propiqai.ai.
In this policy, "you" means an agent or team member with a PropIQ account. "Your clients" means the buyers, sellers, and other contacts whose information you store in PropIQ or who receive messages from you through it.
2. Google user data at a glance
- When you connect a Google account, PropIQ accesses your Gmail, your Google Calendar, and your basic Google profile. We use that access only to run the sign-in, inbox, and calendar features you see in the app.
- We do not sell Google user data, and we do not use it for advertising.
- We do not use Google user data to develop, improve, or train generalized or non-personalized AI or machine learning models, and we do not allow our AI providers to do so.
- PropIQ staff do not read your email or calendar content unless you give us permission for a specific support request, or unless it is needed for security or required by law.
- You can disconnect Google at any time in the app or at https://myaccount.google.com/permissions.
Sections 3 through 8 give the details.
3. Google user data we access
PropIQ requests the following Google permissions (called "scopes"). We do not request access to Google Drive, Google Contacts, or any other Google service.

See, create, and edit events on the calendars you can access, including event titles, times, locations, descriptions, and attendees. Google's description of this permission also covers sharing and deleting calendars. The Gmail data we access includes message headers (sender, recipients, subject, date), message bodies, attachments, labels, and thread history. PropIQ only takes actions in your Gmail or Calendar that you start, approve, or turn on in the app.
4. How we use Google user data
We use Google user data only to provide or improve the user-facing features of PropIQ that you can see in the app:
- Inbox. Displaying, searching, and organizing your email inside PropIQ, and making the organizing changes you choose in your Gmail, such as applying labels, marking messages read or unread, archiving, or moving messages to trash.
- Triage. Matching incoming messages to your contacts, vendors (such as escrow, title, and lender contacts), and deals, and flagging messages that need a reply.
- Drafting. Preparing draft replies for you to review, edit, approve, or discard.
- Sending. Sending messages you approve from your own Gmail address. Sent messages appear in your Gmail Sent folder.
- CRM. Linking messages and events to the contact, vendor, and deal records they relate to, filing matched messages and their attachments to those records where you can see them, and adding a sender's email address to the vendor record it belongs to.
- Calendar. Showing your events, creating and updating showings and appointments, checking your availability, and keeping PropIQ and Google Calendar in sync.
- Account support and protection. Fixing problems with your account and detecting abuse, subject to the limits in section 8.
We do not:
- sell Google user data, or transfer it to advertising platforms, data brokers, or information resellers;
- use Google user data to serve ads, including retargeting or personalized or interest-based advertising;
- use Google user data to determine credit-worthiness or for lending purposes;
- use Google user data, or anything derived from it, to develop, improve, or train generalized or non-personalized AI or machine learning models;
- use Google user data for any purpose not described in this policy.
These limits apply to the raw data we receive from Google and to any data we aggregate, anonymize, or derive from it. We require our employees, contractors, and subprocessors to follow them. If we want to use Google user data in a new way, we will update this policy and ask for your consent before we do.
5. How Chevy uses AI
- Processing by AI providers. To sort messages and write drafts, PropIQ sends the relevant content, such as the email thread you are replying to and related CRM details, to third-party large language model (LLM) providers. They process it and return a result to PropIQ. They act on our instructions as subprocessors.
- No training. We use LLM providers only under written terms that prohibit them from using the data we send to train or improve their models. A provider may keep that data for a limited period set by its terms, for example to monitor for abuse. PropIQ does not use Google user data to train, fine-tune, or improve any AI model, whether our own or a provider's.
- You approve before sending. By default, every message PropIQ sends from your Gmail waits for your approval, including every reply Chevy drafts. If we ever offer a setting that sends certain messages without per-message approval, we will describe it in this policy before it is available, and it will apply only if it is turned on for your workspace.
- AI can be wrong. Chevy's categories and drafts can contain mistakes. Review each draft before you approve it.
6. Limited Use disclosure
PropIQ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Because Gmail and Google Calendar are Google Workspace APIs: the use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
7. How we share information
Google user data is shared only with the following, and only to provide the features described in section 4:
- Nylas, Inc. Nylas connects PropIQ to Gmail and Google Calendar. It holds the access tokens for your connection and syncs your messages and events so PropIQ can display and act on them. Nylas processes this data to provide its service to PropIQ.
- AI model providers. These LLM providers process message content to produce Chevy's sorting results and drafts, as described in section 5.
- Cloud hosting and database providers. These store and run the data PropIQ needs to operate.
- People you share with in PropIQ. If you share your mailbox with a teammate, that teammate can see it until you stop sharing. If you connect an email address that your workspace issued to you, such as a company address on your team's domain, the workspace owner can see that mailbox in PropIQ.
We may also disclose information, including Google user data, when needed to comply with applicable law, a subpoena, or a court order, or for security purposes such as investigating abuse. If PropIQ is involved in a merger, acquisition, or sale of assets, we will not transfer your Google user data as part of that deal without first getting your explicit consent.
Other information (not Google user data) is shared with:
- Resend. Resend delivers the automated property search alert emails that PropIQ sends to your clients. It receives your clients' names and email addresses and the content of each alert. Resend does not receive Google user data.
- SMS and voice providers. These deliver text messages and voice features in PropIQ, such as text alerts to your clients. They receive phone numbers and message content.
- Payment processor. Processes payments for paid plans.
- Anyone you direct us to share with, for example when you forward a message or invite a team member.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
8. When people at PropIQ can see your Google data
Automated systems handle your Google user data. PropIQ employees and contractors do not read your email or calendar content except when:
- you give us explicit permission to view specific messages or events, for example in a support request;
- it is necessary for security purposes, such as investigating a bug or abuse;
- it is necessary to comply with applicable law; or
- the data has been aggregated and anonymized and is used for internal operations as permitted by law.
9. Other information we collect
- Account information: your name, email address, phone number, brokerage, and real estate license number, and your login details.
- Content you add: contacts, notes, transaction details, saved searches, and other CRM records.
- Your clients' information: names, email addresses, phone numbers, search criteria, and how they interact with alerts. We process this information on your behalf. You are responsible for having the right to give it to us and for getting any consent your clients must give.
- Usage and device information: IP address, browser type, pages viewed, and log data, collected using cookies and similar tools, such as session cookies that keep you signed in and analytics tools that measure how the website and app are used. We do not send Google user data to analytics or advertising tools.
- Billing information: if you buy a paid plan, your payment details are handled by our payment processor. We do not store full card numbers.
We use this information to provide and support PropIQ, communicate with you about your account, bill you, detect and prevent abuse, meet legal obligations, and improve PropIQ using usage data that does not include Google user data.
10. How we store and protect information
- Data is encrypted in transit using TLS.
- Google access tokens are held by Nylas. PropIQ does not store your Google password or your Google refresh token. It keeps only an encrypted reference to your Nylas connection.
- Google requires apps that use restricted Gmail scopes to pass an annual security assessment by an independent, Google-authorized assessor. PropIQ uses a restricted Gmail scope, so it must complete that assessment and repeat it as Google requires.
No method of storing or sending data is free of risk. If a breach affects your information, we will notify you as required by law.
11. How long we keep information and how we delete it
- While your Google account is connected: PropIQ stores a copy of an email, including its text and attachments, only when the sender or a recipient matches one of your contacts, vendors, or deals. Email that matches nothing, such as newsletters or personal mail, is not stored or indexed. PropIQ fetches it from Gmail only while you view it. We keep synced Google user data only as long as needed to show your inbox and calendar and run the features in section 4.
- When you disconnect Google: we stop syncing immediately and revoke PropIQ's access tokens. Synced mail and calendar data that is not part of a transaction record is deleted within 30 days, or sooner if your workspace chose a shorter retention setting.
- Transaction records: messages, attachments, and related files filed to a real estate transaction are kept for 3 years by default, including after you disconnect, to match California's rule that real estate brokers keep transaction records for 3 years (California Business and Professions Code section 10148). At the end of that period they are deleted. Your workspace can export these records or delete PropIQ's copies sooner. We use them only to keep your records and to provide the features in section 4.
- Information PropIQ creates from your email: Chevy's drafts and suggestions, sender addresses added to vendor records, and the search index built from saved email follow the same rule as the email they came from. If that email is part of a transaction record, they are kept with it. If it is not, they are deleted within 30 days after you disconnect.
- When you delete your account: we delete your account data within 30 days. Copies in backups are overwritten within 90 days. Transaction records that belong to a workspace you are part of stay with that workspace, under the rule above, until the workspace deletes them or the retention period ends.
- LLM providers: keep data only as described in section 5.
- Exceptions: we may keep limited information, such as billing records, when the law requires it or to resolve disputes. This does not include Google user data except where a law or legal order requires us to keep it.
Deleting data from PropIQ does not change your Google account. Messages you sent through PropIQ stay in your Gmail and in your recipients' mailboxes, and events stay in your Google Calendar until you delete them there.
12. Your choices: disconnecting Google and deleting data
To revoke PropIQ's access to your Google account, do either of these:
- In PropIQ, open your connected account settings and choose Disconnect.
- Go to https://myaccount.google.com/permissions, select PropIQ, and remove its access.
Either one stops PropIQ's access to your Google data. Revoking access in your Google account has the same effect as disconnecting in PropIQ, and your Google user data is then handled as described in section 11.
To delete your data, email us at [email protected] from the address on your account. We will confirm your identity and respond within 30 days. Email filed to a transaction record is kept as described in section 11 unless your workspace deletes it sooner. Marketing email from PropIQ: use the unsubscribe link in any marketing email we send you.
If you are an agent's client and received a property alert through PropIQ, contact your agent to change or stop the alerts. If you contact us, we will pass your request to the agent or help them act on it.
13. California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, may give you these rights:
- Know and access: ask what personal information we have collected about you, the sources, why we collected it, and who we disclosed it to, and get a copy.
- Delete: ask us to delete personal information we collected from you.
- Correct: ask us to correct inaccurate personal information.
- Opt out of sale or sharing: we do not sell personal information or share it for cross-context behavioral advertising.
- Limit use of sensitive personal information: the contents of your email count as sensitive personal information under California law. We use it only to provide the services you asked for and for other purposes California law allows, and not to infer characteristics about you.
- No discrimination: we will not treat you differently for using these rights.
In the past 12 months we collected these categories: identifiers (such as name, email address, and IP address); commercial information (such as subscription records); internet activity (such as usage data); the contents of email and calendar events you connect; and professional information (such as brokerage and license number). Sources, purposes, and the service providers we disclose information to are described in sections 3, 4, 7, and 9. Retention is described in section 11.
To use these rights, email [email protected]. You may use an authorized agent. We will verify your request and respond within 30 days.
For information about agents' clients, PropIQ acts as a service provider to the agent. Clients should send requests to their agent. We will help the agent respond.
14. Children
PropIQ is for real estate professionals and is not intended for anyone under 18. We do not knowingly collect personal information from children under 13. If we learn we have, we will delete it.
15. Changes to this policy
We will post any update on this page with a new effective date. For material changes, we will notify you by email or in the app at least 30 days before the change takes effect. We will not use Google user data in a new way, or for a purpose other than those described here, until you have agreed to the updated policy.
