How PropIQ uses your Gmail and Google Calendar

The PropIQ app, made by PropIQ, Inc., connects to your Gmail and Google Calendar so your client conversations and showings appear next to the right contact and deal. This page explains what PropIQ reads, what it does, what it keeps, and how to disconnect or delete your data.
What you need
- A Gmail address or a Google Workspace address.
- If your brokerage manages your email (a Google Workspace account run by your brokerage's IT), your administrator may need to allow PropIQ before you can connect. If Google shows "access blocked" or "admin approval required," send your IT team this page.
How to connect
- In PropIQ, open your connected account settings.
- Choose to connect your Google account.
- Read the notice that explains what PropIQ will access, then continue to Google.
- Choose your Google account. Google shows the permissions PropIQ is asking for. Leave all boxes checked to use the inbox and calendar features. If you uncheck one, the features that need it stay off until you reconnect.
- Confirm on Google's screen. You'll return to PropIQ, and your account will show as connected.
What PropIQ can access

Google's exact wording on its consent screen may differ slightly.
PropIQ does not access Google Drive, Google Contacts, or any other Google service.
What PropIQ does with your email
- Matching. PropIQ compares the sender and recipients of each new message with your contacts, vendors (escrow, title, lenders), and deals.
- Saving matched email. When a message matches, PropIQ saves a copy and its attachments to that contact or deal. Attachments are filed in your PropIQ documents with a note of which mailbox and message they came from.
- Unmatched email is not saved. Newsletters, personal mail, and anything else that matches nothing stays only in Gmail. You can read it in PropIQ's mailbox tab, which fetches it from Gmail while you look at it. PropIQ does not store or index it.
- Drafts. Chevy, PropIQ's AI assistant, reads matched conversations and writes draft replies. To do this, PropIQ sends the conversation to AI model providers. They process it to return results to PropIQ, under written terms that do not allow them to use it to train their models. Chevy's drafts can contain mistakes, so read each one before approving.
- Search inside PropIQ. Chevy can search your saved client email when you ask it a question in PropIQ, for example "what did the lender say about the appraisal?" It searches only your own workspace's saved email.
- Organizing. When you choose to, PropIQ applies labels, marks messages read or unread, archives messages, or moves them to trash in your Gmail. It never permanently deletes email.
- Approval. By default, nothing is sent from your Gmail without your approval. Each draft waits until you approve, edit, or discard it. Approved replies go out from your Gmail address and appear in your Gmail Sent folder.
What PropIQ does with your calendar
- Shows your existing events next to the related contact and warns you about conflicts.
- When a client asks for a showing or meeting, Chevy suggests an event. PropIQ creates it on your Google Calendar only after you approve it.
- Keeps your PropIQ calendar and Google Calendar in sync in both directions. When you reschedule a showing in PropIQ, PropIQ updates that event in Google Calendar.
- Does not change how your calendars are shared, and does not delete your calendars.
What PropIQ never does
- Sell your Google data or share it with advertisers or data brokers.
- Use your Google data for advertising.
- Use your Google data to train or improve AI models, ours or anyone else's.
- Permanently delete your email.
- Let PropIQ staff read your email or calendar, except when you give permission for a specific support request, when needed to investigate a bug or abuse, or when the law requires it.
Who can see your mailbox
- Your own Gmail: only you, unless you share the mailbox with a teammate in PropIQ. You can stop sharing any time. When a teammate opens your mailbox, PropIQ records it and you can see that history.
- A company address your workspace issued: your workspace owner (team lead) can read it in PropIQ. You are told this in writing when the address is issued.
Who else handles your data
- Nylas connects PropIQ to Gmail and Google Calendar. Nylas holds the Google access keys for your connection. PropIQ stores only an encrypted reference to your Nylas connection, never your Google password or keys.
- AI model providers process conversations to produce Chevy's drafts, under written terms that prohibit them from training on your data.
- Cloud hosting and database providers run PropIQ's servers and store its data.

How to disconnect
Either of these stops PropIQ's access right away:
- In PropIQ: open your connected account settings, choose the account, and choose Disconnect.
- In your Google Account: go to https://myaccount.google.com/permissions, select PropIQ, and remove its access (Google's wording may vary).
Removing access in your Google Account has the same effect as disconnecting in PropIQ.

Why transaction email is kept: California requires real estate brokers to keep transaction records for 3 years (California Business and Professions Code section 10148), and email filed to a transaction is part of that deal file. PropIQ keeps it for 3 years by default and then deletes it. Your workspace can export it or delete PropIQ's copies at any time before then.
How to delete your data
- Delete saved email or transaction records: your workspace can export or delete PropIQ's copies at any time. For help, email [email protected].
- Delete your PropIQ account: email [email protected] from the address on your account. We delete your account data within 30 days, and copies in backups are overwritten within 90 days. Transaction records that belong to your workspace stay with the workspace until it deletes them or the 3-year period ends.
- Ask us to delete other data: email [email protected] from the address on your account. We confirm your identity and respond within 30 days.
Deleting data in PropIQ does not delete anything in your Gmail or Google Calendar.
Google's Limited Use rules
PropIQ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Because Gmail and Google Calendar are Google Workspace APIs: the use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
